Transcribe Voice Memos to Text on Mac: Built-In and Local Options
Turn iPhone Voice Memos or recorder files into a Mac transcript. Try Apple's built-in option first; Alison Workspace's local file workflow needs macOS 15+ and Apple silicon.

Start with the transcript you may already have
To turn a Voice Memo into text on your Mac, first open the recording in Apple's Voice Memos and check for a transcript. If it gives you the words you need, copying them into a document is the simplest route.
A separate file workflow makes sense when the native option is unavailable, your recording comes from a handheld recorder, or you want editable text with playback, translation, and document exports in one place. Alison Workspace provides that workflow on an Apple-silicon Mac with macOS 15 or later. Export or transfer the audio to a Mac folder, then import it; there is no direct Voice Memos integration or automatic library sync.
What Apple's built-in transcription can do
Voice Memos can show transcribed speech during or after recording. On Mac, select a recording, click the transcription button, select the text, then Control-click and choose Copy. Paste it into the document where you want to keep your notes. Apple's macOS 15 and 26 guides specify an Apple-silicon Mac with macOS 15 or later; check the guide for your installed version. Country and region availability also matters.
On iPhone, Apple's current guide lists iPhone 12 or later and English, Spanish, Portuguese, Italian, French, German, Japanese, Korean, Simplified Chinese, and Traditional Chinese. It also warns that transcription is unavailable in some countries or regions. This is the iPhone list, not a promise about every Mac configuration. Use Copy Transcript from the recording's menu when available.
For a supported memo with readable text, use this route. Apple Intelligence summaries have separate requirements; a missing summary does not by itself establish that ordinary transcription is unavailable.
Get an iPhone recording onto your Mac
If you need to transcribe the audio again, transfer the recording itself, rather than a screenshot of its waveform or a copied transcript. Apple's current sharing instructions offer two file choices: Rendered creates one .m4a file with effects and layers mixed together; Editable preserves editing possibilities for compatible software. For a straightforward speech transcript, start with a rendered audio copy and keep the original.
- In iPhone Voice Memos, select the recording, open its more-actions menu, then choose Share.
- If Options appears, check the file choice and select Rendered for the single audio file described above.
- Choose AirDrop to send it to your nearby Mac, or use Save to Files and choose the destination intentionally.
- On Mac, locate the file in Finder and play a passage to confirm it is the right recording.
Controls vary. Do not assume every sharing option produces the same format: Apple's Files export guide describes Editable output as QuickTime Audio, while default export is .m4a.
If the recording is already on Mac or a recorder
If the memo appears in Mac Voice Memos, drag it from the recording list into a Finder folder. Apple documents this as a way to save a recording outside the app. Give the exported file a recognizable name.
Recordings may already appear through Voice Memos in iCloud when the devices use the same Apple Account and the feature is enabled. That is Apple's cloud-sync route, not a requirement of Alison Workspace.
For a handheld recorder, follow its transfer instructions and copy the audio to Mac. Keep the original and check that the copy plays. A matching extension does not guarantee decodable audio; renaming an unsupported file to .m4a is not conversion.
Import the audio and prepare its language
Open the Alison Workspace menu-bar menu and choose Transcribe Files…. This opens the file queue, separate from live captions.
- Choose Add Files, or drag the saved recording into the transcription window. Check the displayed duration.
- Select the language actually spoken. The file-transcription language setting is independent of your live-caption setting.
- Prepare the recognition resources requested by the app. Auto Detect needs a downloaded local Whisper model; selecting a language does not guarantee that its resources are ready.
- Leave No Translation selected if you only need the original words. For a translation, choose its target separately and prepare the supported Apple language resources.
- Leave Separate speakers off for a solo memo. For a conversation, enable it only if you need labels and have prepared its separate resources.
- Choose Start Transcribing.
Importing a saved file does not require system-audio recording or microphone permission. You do not need to play the recording through speakers or record it again. Resource downloads can require an internet connection; prepare them before an offline session.
Turn the draft into notes you can trust
First check how much audio was processed. The app offers a finite free file-transcription allowance, separate from live captions; use the remaining allowance and purchase information displayed in the app. A long recording can produce a partial transcript when the allowance runs out. A result containing text is not proof that the ending was processed.
Then play passages from the beginning, middle, and ending that are present. Use Edit to correct the transcript while checking the audio. Verify lecture terminology against slides, interview names against accompanying material, and dates, quantities, and negation before turning a memo into tasks.
Distant speech, rustling clothes, traffic, and overlapping speakers all increase review work. If you requested a translation, review that too after correcting the source text; correcting the original does not establish that the translated wording is now correct.
Save the document and keep the recording
Use Export to choose Plain Text for reusable notes, Markdown for a writing workflow, or PDF Document for a reading copy. CSV is also available. Select original text, translated text when present, or both, and decide whether the document needs timestamps and any available speaker labels.
Save the export to the folder you intend. A document in iCloud Drive or another shared folder may sync through that service. Check the exported file before sharing it.
Keep the source audio in a stable location for later playback. The saved transcript references the recording; it is not a replacement backup of the audio. Exporting text also does not create a summary or a verified record of the speaker's exact words.
Separate a file problem from a transcription problem
If the file cannot be added, check that the transfer finished, the source still plays, and the copy contains the expected sound. For an editable or layered Voice Memos export, try a rendered copy rather than assuming every editing format is interchangeable. For accepted audio with incorrect words, check the spoken-language setting and resources, then assess the recording quality. Granting microphone permission will not repair a damaged imported file.
Once the necessary resources are installed, Alison Workspace's recognition and supported translation run on the Mac without uploading the recording to a transcription service. That describes processing. It does not undo earlier iCloud sync, email delivery, recorder-cloud uploads, or later sharing of the transcript. Choose the transfer route, storage folder, and recipients accordingly, and follow any rules that apply to keeping someone else's recorded speech.

Frequently asked questions
Can I transcribe a Voice Memo without installing another app?
Yes, when Voice Memos transcription is available for your device, system, language, and region. Open its transcript and copy the text into a document. You only need another workflow when that does not meet your needs.
Why is there no transcript on my iPhone?
Check Apple's current device, language, and regional requirements. The guide specifies iPhone 12 or later and a limited language list. A recording that plays normally can still lack an available native transcript; export the audio if you need to process it on Mac.
Does sharing a Voice Memo always create an M4A file?
No. Apple's current instructions distinguish Rendered, which creates a single .m4a file, from Editable. Check the sharing options and the resulting file instead of treating all Voice Memos exports as identical.
Can Alison Workspace read my iPhone Voice Memos library automatically?
No direct library connection is described here. Transfer or export the audio to your Mac, then use Add Files or drag it into the file-transcription window. Apple's optional iCloud sync is a separate service.
Do I have to allow microphone or system-audio recording?
Not for importing and transcribing an existing file. Those capture permissions belong to live-input workflows. File transcription reads the media you selected.
Can I use a recording made on an older iPhone or a recorder?
The recording device does not have to run Alison Workspace. Transfer a readable audio file to a supported Mac. Whether it imports depends on the actual file and audio encoding, not whether the original recorder could transcribe it.
Can I transcribe the recording while offline?
After the required resources are installed, supported recognition runs locally. Download any needed recognition, translation, or speaker resources first. Cloud-based file transfer or synced storage has its own connectivity requirements.
